Key dates for practices in 2015/16

There are a number of key deadlines for practices in England if they are to receive correct payments for enhanced services and immunisations.

Throughout the financial year there are many deadlines and dates related to payments for enhanced services (ES) and immunisations in England. These are the dates of which you need to keep track, going forward.

See the bottom of this article for links to guidance and audit requirements for the 2015/16 GMS contract.

July - Q2 starts

1 July:
Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

15 July:
Deadline for submission of the April-June quarterly monitoring form for the extended hours ES. 

Quarterly minor surgery and learning disabilities ES return.

31 July:
Practices should receive payment for component one of the unplanned admissions ES (£1.33 per patient).

Practices should receive payment for component 1 of the dementia DES (37p per patient).

Deadline for submission of April-June quarterly monitoring for the unplanned admissions ES.

Monthly vaccination report via CQRS.

Dementia ES return for Q1 (April-June) via CQRS.

August

Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

31 August:
Monthly vaccination report via CQRS.

September

Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

30 September:
Monthly vaccination report via CQRS.

October - Q3 starts

1 October:
Check the at-risk register of patients for the unplanned admissions ES and make sure it is 2% of the practice's registered adult patients (aged 18 and over).

Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

14 October:
Manual claim if practice has not reached the unplanned admissions ES target of having 1.8% of their patient population on the case management register (see note below).

15 October:
Deadline for submission of July-September quarterly monitoring form for the extended hours ES.

Quarterly minor surgery and learning disabilities ES return.

30 October:
Submission of reporting template for unplanned admission - download template here.

Monthly vaccination report via CQRS.

Dementia ES return for Q2 (July-September) via CQRS.

November

Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

30 November:
Practices should receive payment for component 2 payment of the unplanned admissions ES (77p per patient).

Monthly vaccination report via CQRS

December

Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

31 December:
Monthly vaccination report via CQRS.

January - Q4 starts

1 January:
Monthly review of all patients on the at-risk register and of all unplanned admissions and re-admissions.

15 January:
Deadline for submission of October-December quarterly monitoring form for the extended hours ES.

Quarterly minor surgery and learning disabilities ES return.

31 January:
Monthly vaccination report via CQRS

Dementia ES return for Q3 (October-December) via CQRS.

February

28 February 2015:

March

Monthly review of all patients on the at risk register and of all unplanned admissions and re-admissions

31 March:

April

14 April:

Deadline for submission of January-March quarterly monitoring form for the extended hours ES.

May

31 May:
Payment for component 3 of the unplanned admissions ES (77p per patient).

Note on unplanned admissions ES
Practices may have to submit manual data relating to any patient on the case management register who moved practice before 30 September 2015 and 31 March 2016 respectively.

This is only required if a practice has failed to reach the minimum 1.8% of patients on the register in each six-month period and it has not had reasonable time to replace the patient on the case management register. This would also apply where the whole year register size falls below the minimum 2% without taking account of these changes.

Patients claimed for in the first six-month period under these circumstances cannot be counted in the second six-month period and practices will need to find new patients for the case management register. Practices have to provide the commissioner, within two weeks of the deadline dates above, with the following information for each patient being claimed for:

  • the patient’s NHS number
  • the patient’s date of registration with the practice (where known)
  • the patient’s date of deregistration with the practice
  • evidence that the patient was informed of their named accountable GP
  • evidence that a personalised care plan had been developed.
